n8n vs Zapier: which should a small business use?
The short answer
Pick Zapier if you have a few simple automations, want them running today, and never want to think about a server. Pick n8n if your workflows have many steps, run often, use AI, or handle data you would rather keep on your own server. As workflows grow, n8n usually costs far less, because it does not charge for every step.
How each one charges
Zapier bills by tasks: each action a Zap takes counts as one. A five-step Zap that runs 1,000 times a month uses about 5,000 tasks, so long or busy workflows climb the plans quickly.
n8n cloud bills by workflow runs, however many steps each run has. Host it yourself and there is no per-run fee at all; you pay only for the server.
Side by side
When Zapier is the better choice
- You need an app that only Zapier connects to out of the box.
- Your automations are short, like "new form entry, add a row to a sheet".
- Nobody on the team wants to look after anything technical.
When n8n is the better choice
- Workflows with many steps, branches or loops.
- High volume, where per-task pricing gets expensive.
- AI steps that read, sort or draft text inside the workflow.
- Customer or candidate data you want to keep on your own server.
- Tools with an API but no ready-made connector.
Moving from Zapier to n8n
Each Zap becomes an n8n workflow. The safe way is to rebuild them one at a time, run both versions on real data, and switch off the Zap only when the results match. Most teams start with their busiest or most expensive Zap.

Questions
Is n8n free?
The community edition is free to host on your own server; you pay only for the server. n8n also sells a hosted cloud plan if you would rather not run a server.
Is n8n harder to use than Zapier?
A little. Zapier is built for people who never want to see code. n8n has the same drag-and-drop editor, but complex workflows reward someone comfortable with data and APIs.
Can I move my Zaps to n8n?
Yes. Each Zap is rebuilt as an n8n workflow. We run the old and new versions side by side on real data before you switch.
Which is better for AI automations?
Both can call AI models. n8n gives you more control over each step, such as AI agents with memory and tools, and it does not charge more as a workflow gets longer.
